With the Outlook Room Booker, or ORB for short, we bi-directionally synchronize room bookings between Outlook (Exchange 365) and the reservation management of TOPdesk!
The main reasons to use the ORB:

- When creating, moving, and canceling bookings

- Prevention of “no shows”
- Prevention of double bookings
- Bi-directional synchronization with room reservation screens (or other Audio Visual resources)
- Bi-directional synchronization of Teams meetings (Microsoft Teams Rooms)
The ORB synchronizes bookings of rooms with people, including any linked services. The connection between Outlook and TOPdesk is established via our Qixium platform.
Connecting both tools is, of course, not done with the push of a button. TOPdesk and Exchange have important differences. We also look beyond just the technical connection!
We look at working methods, processes, and Exchange settings with various stakeholders. We take into account additional systems such as Teams Room Devices and room reservation screens. To ensure that customers can independently adjust and manage the ORB, there is also sufficient attention for training and management.
With the ORB, we strive for convenience for organizers of room bookings. This means that the organizer books, moves, and cancels as much as possible in one application. In practice, we see that the majority of bookings are started in Outlook.
